Prior to Registering

Registration Rules and Guidelines


1. Registration Oversight

  • The Registration Chairperson is solely responsible for conducting registration.
  • The President may assist with consultation but cannot make registration decisions.
  • If the Registration Chairperson is unavailable, the President or Vice President may step in only if all changes are documented and shared with the Registration Chairperson.
  • Any registration-related issues must be brought to the board by the Registration Chairperson.
  • No edits or changes will be made after registration officially closes, and rosters are released.

2. Player Placement and Requests

  • Returning players have priority to return to their previous team only if requested.
  • Team change requests must be made during registration. If a player requests a new team, they forfeit their spot on the previous team unless otherwise noted in the registration. Example: “Team request: [New Team] or [Previous Team]”
  • Requests (for teams, accommodations, etc.) are honored first come, first serve.
  • Transportation or special accommodations must be stated on the registration form. If not listed, they will not be acknowledged.

3. Volunteer and Coach Requirements

  • All coaches and volunteers must register during the regular registration period.
  • Volunteers must:
    -Complete a background check.
    -Print and visibly wear their background check while on the field or in the dugout.
    -Email a screenshot of their cleared background check card to [email protected].
  • Volunteers who register after registration closes must be approved by the Registration Chairperson.
  • Any volunteer with an incomplete or incorrect background check will not be allowed on the field or in the dugout until they correct the issue through USA Softball.

  • Teams should have a balanced number of players, except when a full team of returning players is kept together.  
    Example: If 10 players return to one team, they may stay together but other teams will receive returning players first before being filled with drafted players
  • Coaches may not deny a returning player who has requested to return to their team.
  • New teams must be declared as such in registration. Players must request the new team name only.
  • A new team name or coach does not automatically create a new team
  • If a player lists an old team name instead, they will go into the draft.

5. Select and Handpicked Teams

  • Any select/travel team must:
    -Register with a complete roster.
    -Submit the roster from the official site (e.g., NCS, USSSA) to the Registration Chairperson.
    -Play up a division.
    Example: A 10U select team must be composed of players eligible for 10U but will play in the 12U division.
  • Any ineligible players (based on the USA Softball Age Chart) will be disqualified.

  • Any handpicked or tryout-based team must:
    -Play up a division, regardless of age or skill.
    -Submit their full roster and will not receive draft players.
    And only be offered practice fields, season games and will not be eligible for tournament/bracket play or All-Star rosters.

6. Honesty and Conduct

  • False information on registration may result in:
    -Disqualification from the rest of season play without a refund
    -Banned from participating in future seasons.
